1. OVERVIEW
At HTKT Communication OPC PVT. LTD., we are committed to delivering high-quality media promotion and communication services to every client. We understand that circumstances can change, and this Refund Policy outlines the conditions under which refunds may be requested, considered, and processed.
Please read this policy carefully before engaging our services. By making a payment to HTKT Communication, you acknowledge that you have read and agreed to this Refund Policy.
2. GENERAL REFUND PRINCIPLE
Due to the nature of media promotion services — which involve advance bookings with third-party media houses, newspapers, TV channels, digital platforms, outdoor vendors, and influencers — most payments made to HTKT Communication are non-refundable once work has commenced or media space has been booked on your behalf.
However, we believe in fair and transparent business practices. Each refund request will be reviewed individually based on the specific circumstances, stage of work, and costs already incurred.
3. SERVICES COVERED UNDER THIS POLICY
This Refund Policy applies to all services offered by HTKT Communication, including:
Print Media Promotion — Newspaper advertisements, press releases, magazine promotions, pamphlets, and brochure campaigns.
Electronic Media Promotion — TV channel advertisements, news coverage, interviews, and event promotions.
Digital Media Promotion — Social media marketing, online advertising, and digital brand promotion campaigns.
Actor and Influencer Promotion — Promotional video shoots, actor-based advertising, and influencer collaborations.
Business Launch Campaigns — Complete media coverage for business launches, product launches, and press conferences.
Outdoor Advertising — Hoardings, billboards, LED screen ads, roadshows, vehicle branding, and outdoor promotional campaigns.
4. WHEN REFUNDS ARE ELIGIBLE
You may be eligible for a full or partial refund in the following situations:
4.1 Service Not Commenced If you cancel your service request in writing before any work has begun and before any third-party media bookings have been made on your behalf, you are eligible for a full refund of the amount paid, minus any applicable processing or administrative fees.
4.2 Non-Delivery of Service by HTKT Communication If HTKT Communication fails to deliver the agreed service within the committed timeline due to reasons solely on our end, and we are unable to offer a suitable alternative or rescheduled delivery, you will be eligible for a full refund of the amount paid for the undelivered portion of the service.
4.3 Duplicate Payment If you have made a duplicate or accidental double payment for the same service, the excess amount will be refunded to you in full within 7 to 10 business days upon verification.
4.4 Service Cancelled by HTKT Communication In the rare event that HTKT Communication cancels a confirmed service engagement due to internal reasons, you will receive a full refund of all amounts paid for that service within 10 business days.
5. WHEN REFUNDS ARE NOT ELIGIBLE
Refunds will not be granted in the following circumstances:
5.1 Work Already Commenced Once our team has begun campaign planning, strategy development, content creation, or any preparatory work related to your project, that portion of the payment is non-refundable.
5.2 Media Bookings Already Placed Once media space has been booked or confirmed with a third-party partner — including newspaper slots, TV airtime, outdoor hoarding space, digital ad placements, or influencer agreements — those costs cannot be recovered and no refund will be issued for that portion.
5.3 Client-Caused Delays or Cancellations If a campaign is delayed, disrupted, or cancelled due to the Client’s failure to provide required materials, approvals, feedback, or payments on time, no refund will be issued for work already completed or costs already incurred.
5.4 Change of Mind After Commencement Refunds will not be provided simply because you have changed your mind, your business priorities have shifted, or you are dissatisfied with results that are within normal industry expectations and were disclosed at the time of engagement.
5.5 Dissatisfaction with Third-Party Media Outcomes HTKT Communication acts as a facilitator and promotion partner. We do not control editorial decisions, publishing schedules, audience reach, or viewership outcomes of third-party media organizations. Dissatisfaction with outcomes driven by third-party platforms does not qualify for a refund.
5.6 Partially Delivered Services If a portion of the agreed service has been delivered successfully, only the undelivered portion may be considered for a partial refund, subject to deduction of all costs already incurred.
5.7 Payments Made Beyond the Refund Request Window Refund requests must be submitted within 15 days of the triggering event (such as missed delivery or service failure). Requests submitted after this window will not be considered.
6. PARTIAL REFUNDS
In cases where only part of the service has been delivered, or where some costs have already been incurred on your behalf, HTKT Communication may offer a partial refund. The partial refund amount will be calculated based on the value of work not yet completed minus any non-recoverable third-party costs already paid on your behalf.
The final partial refund amount will be communicated to you in writing and must be mutually agreed upon before processing.
7. HOW TO REQUEST A REFUND
To submit a refund request, please follow the steps below:
Step 1 — Send a written refund request to Contact@htktcommunication.com with the subject line “Refund Request — [Your Name / Business Name]”.
Step 2 — Include the following details in your request: your full name and business name, the service for which you are requesting a refund, the date of payment, the amount paid, your payment reference or transaction ID, and a clear explanation of the reason for your refund request.
Step 3 — Our team will acknowledge your request within 2 business days and begin reviewing it.
Step 4 — We will communicate our decision to you in writing within 7 business days of receiving your complete request. If additional information is required, this timeline may be extended.
Step 5 — If your refund is approved, the amount will be processed and credited to your original payment method within 7 to 10 business days from the date of approval.
8. REFUND PROCESSING
Approved refunds will be credited back to the original payment method used at the time of purchase. We do not issue refunds via a different payment channel than the one originally used, unless the original method is no longer available.
Processing times may vary depending on your bank or payment provider. HTKT Communication is not responsible for delays caused by your bank or payment gateway after the refund has been initiated from our end.
All refunds are processed in Indian Rupees (INR). Any currency conversion differences or bank charges incurred during the refund process are the responsibility of the Client.
9. ADVANCE RETAINER AND TOKEN AMOUNT
In cases where a token amount or advance retainer has been collected to confirm a booking or reserve a campaign slot, the following conditions apply:
If the Client cancels before any work commences and before any third-party bookings are made, 50% of the token amount may be refunded at the discretion of HTKT Communication, after deducting any administrative costs.
If the Client cancels after work has commenced or after third-party bookings have been placed, the token amount is fully non-refundable.
If HTKT Communication cancels the confirmed engagement, the full token amount will be refunded.
10. DISPUTE RESOLUTION
If you are dissatisfied with the outcome of your refund request, you may escalate the matter by sending a detailed written complaint to Contact@htktcommunication.com. Our senior management team will review the escalation and respond within 5 business days.
We are committed to resolving all disputes fairly and amicably. If a resolution cannot be reached through direct communication, the dispute will be handled in accordance with the Dispute Resolution provisions outlined in our Terms and Conditions, which include arbitration under the Arbitration and Conciliation Act, 1996.
11. AMENDMENTS TO THIS POLICY
HTKT Communication reserves the right to update or modify this Refund Policy at any time. Any changes will be posted on our website with a revised effective date. It is your responsibility to review this policy before making any payment. Continued engagement of our services after any update constitutes your acceptance of the revised policy.
